Project Manager Assistant

Compensation: $50,000 - $80,000 / year

Our talented staff of more than 650+ professionals deliver integrated planning, design, engineering and construction solutions.

Due to MSG's continued growth, a new opening is available for a Project Manager Assistant (PMA) to assist with our projects in Shaker Heights, OH! 

The PMA will support our Project Managers with administrative, operational, and project accounting tasks that keep complex civil engineering projects moving forward. This role is ideal for someone who enjoys working behind the scenes to support professional services teams through strong organization, financial tracking, and proactive communication.

Key Responsibilities

As a PMA, you’ll provide critical administrative, operational, and financial support to Project Managers throughout the project lifecycle.  

Project Coordination & Communication

  • Coordinate schedules, meetings, and day-to-day project communications
  • Serve as a central point of contact for project teams, clients, and internal stakeholders
  • Track deadlines, deliverables, and milestones to support on-time project execution

Administrative & Documentation Support

  • Maintain accurate project documentation, files, and records
  • Assist with proposal assembly, contract coordination, and project correspondence
  • Support compliance requirements and audit preparation as needed

Operational Support

  • Assist Project Managers with internal coordination and workflow organization
  • Help monitor project progress and keep teams aligned on priorities
  • Collaborate with multidisciplinary civil engineering project teams

Financial & Invoicing Support

  • Assist with project budgeting, forecasting, and financial tracking
  • Track project costs, allocations, and changes throughout the project lifecycle
  • Support Project Managers during the invoicing cycle by reviewing draft invoices, coordinating revisions, and preparing invoices for final billing

Skills, Knowledge and Expertise

  • Bachelor’s degree in Business Administration, Finance, Accounting, Project Management, or a related field
  • 2+ years of relevant experience in project administration, project accounting, or project coordination
  • Experience supporting professional services or consulting projects preferred
  • AEC industry experience highly preferred
  • Proficiency with project management tools, spreadsheets, and MS Office applications
  • The ability to manage multiple deadlines with accuracy and attention to detail
  • A team-oriented, service-focused approach to supporting Project Managers
  • Excellent written and verbal communication skills

The base salary range for this role is indicated in the posting. This range reflects the company’s good faith estimate of the compensation for this position at the time of posting. Final compensation will be determined based on factors such as experience, skills, qualifications, internal equity, and geographic location.
