Full description

The Medical Office Supervisor is responsible for the overall coordination and supervision of clerical operations within the clinic. This position provides leadership and direction to ensure efficient workflow, effective communication, and adherence to organizational policies and regulatory requirements. The Supervisor serves as a key resource to both staff and management, promoting teamwork, process improvement, and high-quality service delivery. In addition to supervisory responsibilities, this role actively supports daily office operations as needed to maintain smooth and efficient clinic function.

Supervises the medical record release process and responds to inquiries from patients, attorneys, and insurance companies in accordance with organizational policies and HIPAA regulations.

Oversees all clerical functions of the clinic, including appointment scheduling, phone management, faxing, mail distribution, reception, and processing of incoming documents. Collaborates with the Practice Manager to identify and implement process improvements that enhance efficiency and optimize resource utilization.

Supervises clerical staff, including responsibility for interviewing, training, performance evaluations, and administering corrective actions in alignment with HR and organizational policies.

Prepares and presents monthly reports such as point-of-service collections, phone statistics, no-show rates, new patient volumes, and other productivity metrics. Partners with the Practice Manager to implement strategies that improve key performance indicators.

Maintains inventory and orders office supplies while monitoring expenses and identifying cost-saving opportunities.

Performs other duties as assigned.

Qualifications

Education: Minimum: Two-year degree with emphasis in business office or related experience considered.

Preferred: Bachelor’s Degree

License/

Certifications: None

Experience: Minimum: Three years supervisory experience

Preferred: Supervisory experience in a healthcare setting
