Partner with the Scene Shop Manager to oversee and help lead projects and associated logistical, organizational, and planning efforts. This will involve tracking the scope, schedule, labor, and budget elements with the focus of maximizing effectiveness.
Essential Duties and Responsibilities:
- Deliver Self-directed administrative support for the Scene Shop. Tasks include managing schedules and calendars to ensure prioritization of key efforts, purchasing, processing paperwork such as invoices, travel coordination, and supporting verbal and written communication as requested.
- Support Shop projects while successfully managing multiple competing priorities and creating efficiencies in process and systems.
- Approve PTO requests and submit timecards.
- Partner with the Scene Shop Manager to oversee the needs of projects by managing labor, material, and equipment needs specific to projects.
- Create, manage, and execute all internal and external work for hire agreements for Shop team.
- Build and maintain healthy relationships with Scene Shop, in-house clients, and outside vendors to equip teams with proper information and needs to guide projects successfully.
- Provide administrative and general support for the Scene Shop Manager.
Prerequisites:
- Consistent ability to maintain a positive, collaborative, proactive and adaptable approach
- Natural problem solver, able to identify, prioritize, and resolve issues in a proactive manner
- Aptitude for organizing oneself/others and managing details without losing sight of end goals
- Ability to remain calm, composed, and rational under the pressure and time demands of a fast-paced environment
- Ability to manage confidential information with discretion
- Excellent communication and customer service skills
- High level of computer competency including Microsoft Office
The physical demands of this position are active in nature. You will be expected to be on your feet frequently, walk and stand regularly, sit regularly, work indoors, use step stools, operate small machinery and power tools, and frequently lift/exert up to 50 lbs. of force.
