Operations Workforce Coordinator

Department: Manufacturing Operations Location: Limerick Reports to: Manufacturing Operations Manager Employment type: Full-time  

Role Purpose

The Operations Workforce Coordinator provides dedicated workforce systems, attendance and communications support to Manufacturing Operations. The role will build expert capability in Dimensions, provide responsive support to shift employees, maintain accurate attendance follow-up, and ensure operational messages are communicated clearly and consistently across all shifts.

Key Responsibilities

  • Develop into the Manufacturing Operations subject-matter expert for Dimensions, building a strong understanding of timekeeping, schedules, punches, time-off requests, approvals, reporting and relevant payroll processes.
  • Act as the first point of contact for shift employees and operations leaders on day-to-day Dimensions queries, providing practical guidance and escalating complex or payroll-impacting issues through the appropriate support channels.
  • Support employee and manager adoption of Dimensions by preparing simple guidance, sharing updates, reinforcing key deadlines and identifying recurring training needs.
  • Monitor timekeeping records and exceptions, including missed punches, unexcused absences and outstanding approvals, and follow up promptly with the relevant employee or manager.
  • Maintain an accurate absenteeism tracker, recording absence dates, status, follow-up actions and closure while handling personal information appropriately.
  • Coordinate the return-to-work process by issuing or gathering required forms, monitoring completion, following up on outstanding actions and ensuring each case is closed in line with site procedures.
  • Prepare clear weekly communication slides for rollout across all shifts, aligned with the site weekly communications cycle and approved operational priorities.
  • Work with Operations, HR, Payroll and site stakeholders to gather accurate content, confirm key messages and ensure communications are timely and consistent.
  • Maintain organized records, trackers, standard work and guidance materials, ensuring information is current, accurate and easily accessible.
  • Produce regular summaries on Dimensions queries, attendance trends, outstanding return-to-work actions and communication completion for the Operations management team.
  • Conduct first-round interviews for external candidates applying for Operations positions, using agreed interview criteria to assess relevant experience, communication skills and suitability for progression to the next stage of the recruitment process.

  • Strong attention to detail and commitment to accurate, confidential record keeping.
  • Excellent organization and follow-through, with the ability to manage multiple deadlines and close actions promptly.
  • Clear written and verbal communication skills, with the ability to explain systems and processes to shift-based employees.
  • Confidence learning digital workforce systems and becoming a trusted subject-matter expert.
  • Strong working knowledge of Microsoft PowerPoint and Excel; experience preparing concise operational presentations and trackers.
  • Collaborative approach and ability to work effectively with employees, supervisors, managers, HR and Payroll.
  • Sound judgement, discretion and a consistent approach when handling attendance and employee information.
  • Proactive, service-focused and comfortable working independently in a fast-paced manufacturing environment.

 

Qualifications and Experience

  • 0- 2 years relevant experience in manufacturing operations, workforce coordination, timekeeping, payroll support, HR operations or a comparable environment.
  • Experience using workforce management, time and attendance, payroll or HR systems is desirable.
  • Demonstrated ability to maintain accurate records, develop structured trackers and prepare professional communications.
  • Relevant third-level qualification or equivalent practical experience is desirable

Measures of Success

  • High adoption of Dimensions and timely resolution or escalation of shift-worker queries.
  • Accurate attendance records with clear ownership and timely follow-up.
  • Return-to-work forms completed and closed within agreed timelines.
  • Weekly shift communication slides delivered accurately, consistently and on schedule.
  • Reduction in recurring timekeeping exceptions and improved payroll readiness.
  • Positive feedback from shift employees, supervisors and operations stakeholders.
