As Associate Project Manager within our Medical Operations Team, you’ll you will manage and monitor the day-to-day operation of office administrative tasks for the Business Unit leadership team, as well as support event management and contracting activities for Advisory Boards, Advisory Committees, and other Peer-to-Peer engagement events, ensuring efficient execution and alignment with global and local business needs, strategies, and priorities.

Main responsibilities:

  • Manage and monitor the day-to-day operation of office administrative tasks for the Business Unit leadership team ensures smooth workflow and efficiency related to administration.
  • Schedule and maintain regular meetings for Business Unit team, taking care of the calendars of the team and corresponding with other assistants.
  • Manages the booking and facilitating of all types of meetings including booking of meeting venues and ordering catering for large meetings.
  • Organize international and domestic travel arrangements and administration as required including expense reimbursements in Concur.
  • Manage suppliers in ordering resources and services including initiating POs and overseeing the delivery.
  • Assist with the preparation of presentations, reports as requested.
  • Manage event coordination and ensure seamless coordination with stakeholders.
  • Manage e-mail distribution lists and business system access administration (req submission, follow up) as per functional inquiries.
  • Manage and monitor organizational changes within the business unit and update the organizational chart on regular basis.
  • Spearhead and maintain the Business Unit´s SharePoint site, ensuring up-to-date content accessibility for internal stakeholders.
  • Work closely with other Administration/Support staff and teams to ensure the delivery of the goals.
  • Regularly track and monitor project status, organize timelines, plan project milestones, set reminders, measure project’s progress, share status and success.
  • Implement appropriate filing and other office procedures to facilitate a highly organized and smoothly functioning division.

About you  

  • Experience: 3 years of experience in administrative support, operations, project coordination, or similar roles within a multicultural environment.
  • Soft skills: Demonstrates strong communication skills, proactive thinking, effective stakeholder management, and a collaborative approach to teamwork.
  • Technical skills: Proficiency in Microsoft Office applications (PowerPoint, Excel, Word, Outlook, and Teams), strong calendar management capabilities, experience using project management tools to coordinate tasks and timelines, and familiarity with content creation tools for developing presentations, communications, and digital content.
  • Education: Bachelor’s degree is required.  
  • Languages: Advanced English level.
