Job Summary:
The Warranty Salesforce Customer Intake/Setup Associate is responsible for the accurate and timely entry of dealer product registrations into Salesforce. This full-time position takes dedicated ownership of the registration intake and customer setup process and communicates with dealers to explain the warranty registration process and resolve incomplete submissions.
Key Responsibilities:
- Maintains a professional, detail oriented, customer centric courteous, and solution-based demeanor in all interactions with Dealers and across departments.
- Dealer Registration Entry: Receive and enter dealer submitted product registrations into Salesforce accurately and in a timely manner, maintaining virtually error free data entry across a high monthly volume.
- Customer Account Setup: Create and update customer and equipment records in Salesforce, ensuring each registration includes complete and accurate customer, dealer, model, and serial number information.
- Process Ownership: Serve as the dedicated owner of the dealer registration and customer setup process, providing a single, consistent point of accountability for registration intake.
- Documentation Verification: Review registration submissions for completeness and accuracy, and follow up with dealers to resolve missing or conflicting information.
- Communication: Serve as the point of contact for dealers regarding registration status. Clearly and professionally explain the warranty registration process, requirements, and next steps.
- Records Management: Maintain accurate and organized records of all registrations and customer setups for future reference and audits.
- Backlog Management: Prioritize and work through registration queues to keep data entry current and prevent backlog.
- Reporting: Provide regular reports on registration volume, processing times, and data accuracy to the Warranty Supervisor and Service Manager.
- Collaboration: Work closely with the Warranty and Service teams to ensure registrations support accurate warranty coverage determinations.
- Training: Provide guidance to dealers on proper registration submission and documentation requirements.
- System Updates: Ensure Salesforce records remain current with the latest customer, dealer, and product information.
Key Qualifications:
- Education:• High school diploma or equivalent required.
- An associate’s degree or coursework in business administration or a related field is preferred.
- Experience:• 1+ years of experience in data entry, administrative support, or customer service.
- Familiarity with Salesforce or other CRM systems is a plus; no technical experience required.
- Technical Knowledge:• General familiarity with Automotive, tractor, or equipment product lines is helpful but not required.
- Ability to accurately interpret dealer-submitted registration information, including customer, model, and serial number data.
Skills:
- Exceptional attention to detail, with the ability to enter data virtually error-free.
- Articulate written and verbal communication skills for speaking with dealers and explaining the warranty process.
- Strong process orientation, follow established procedures consistently.
- Ability to manage a high volume of data entry while meeting deadlines.
- Comfortable learning and working in Salesforce, SAP, and the Office Suite.
- Customer service orientation, with the ability to manage difficult situations with professionalism.
