Job Description

We're looking for a detail-oriented and organized Assistant Project Manager to join our Buildings Design practice in Dubai, United Arab Emirates. In this role, you will provide essential support to our project management team, ensuring smooth coordination and documentation of all pre-contract activities. You will work closely with internal stakeholders and external vendors to facilitate project initiation and contract preparation, playing a key role in setting the foundation for successful project execution within the hospitality sector.

Responsibilities:

  • Coordinate and organize  documentation, including vendor proposals, contracts, and service agreements
  • Assist in the preparation of project briefs, timelines, and resource allocation plans
  • Communicate with internal departments and external vendors to gather necessary information and clarify project requirements
  • Maintain organized project files and databases, ensuring all pre-contract materials are properly documented and easily accessible
  • Support the senior project manager in analyzing vendor proposals and preparing comparative assessments
  • Track and monitor pre-contract milestones and deliverables to ensure timely project progression
  • Prepare meeting agendas, minutes, and status reports for project stakeholders
  • Identify and escalate potential risks or issues during the pre-contract phase
  • Assist in customizing project templates and checklists specific to hospitality requirements
  • Coordinate site visits and inspections as needed during the pre-contract phase
  • Manage administrative tasks including scheduling, correspondence, and vendor follow-ups

Qualifications

  • 3+ years of experience in project coordinator or assistant project manager capacity
  • Experience within architecture or building engineering 
  • Strong knowledge of the hospitality industry and its operational requirements
  • Experience in mixed use developments and hospitality projects is beneficial.
