HR Systems & Reporting Analyst

The Role

The HR Systems & Reporting Analyst will support the day-to-day administration of SAP SuccessFactors.  The role will focus on user administration, system support, data quality, security access, reporting and analytics. The successful candidate will work closely with HR, IT, payroll teams and external support partners to ensure the HR systems environment is reliable, secure and effectively supports business reporting needs.

Key Responsibilities

As the HR operating model continues to develop and systems capability mature, the responsibilities of this role may be adjusted to support evolving business requirements

System Administration and Operations Support

  • Provide day-to-day administration and operational support for SAP SuccessFactors and related HR systems.
  • Act as a key contact for HR system queries, incidents and service requests, following initial triage by HR Operations/Admin teams.
  • Investigate system issues, identify root causes and coordinate resolution with internal teams and external support partners.
  • Monitor support tickets and ensure issues are progressed and resolved within agreed service levels.
  • Support system releases, upgrades and scheduled maintenance activities.
  • Coordinate and complete system testing following releases, updates or technical changes.
  • Maintain clear system administration guides, user support materials and technical documentation.
  • Support HR users through guidance, training and practical assistance.
  • Monitor system usage and highlight recurring issues, support needs or opportunities to improve the user experience.
  • HR Operations and HRIS will work together on process and system changes to ensure they meet business needs and support the future operating model.
  • Support change management initiatives by providing training and documentation for HR and end-users.

Reporting and Analytics

  • Develop, maintain and distribute standard and ad hoc HR reports and dashboards.
  • Work with HR and business stakeholders to understand reporting requirements and translate them into clear, accurate reports.
  • Maintain the HR reporting catalogue and agreed reporting schedules.
  • Validate report outputs and investigate discrepancies.
  • Support regular workforce reporting, including headcount, turnover, absence, recruitment and other key HR metrics.
  • Provide data extracts to authorised stakeholders, payroll teams and external partners where required.
  • Support the development of clear and consistent HR data definitions and reporting standards.
  • Assist stakeholders in interpreting reports and using HR data effectively.

Data Quality and Security

  • Monitor HR data quality and work with relevant teams to resolve errors, gaps and inconsistencies.
  • Complete regular data audits, reconciliations and validation checks.
  • Support data imports, mass data updates and data correction activities.
  • Maintain appropriate controls over sensitive employee information.
  • Ensure access is granted in line with approved role requirements and segregation of duties.
  • Support periodic reviews of user access and system permissions.
  • Assist with data retention, audit and security requirements relating to HR systems.
  • Maintain accurate records of system access, approvals, data updates and support activities.

Technical Coordination

  • Monitor data transfers and integrations between SAP SuccessFactors, payroll and other enterprise systems.
  • Investigate data transfer failures and coordinate resolution with IT, payroll, vendors and system partners.
  • Support user acceptance testing and regression testing for system releases and technical updates.
  • Maintain test scripts, test evidence and issue logs.
  • Support system audits by providing relevant evidence, reports and access records.

Qualifications & Experience

  • Degree in Human Resources, Information Systems, Business or a related field, or equivalent experience.
  • 3+ years' experience in HR systems, HR technology, reporting, data management or a similar role.
  • Experience supporting SAP SuccessFactors, preferably Employee Central, including user administration, security access and reporting.
  • Strong understanding of HR data, reporting, data quality management and system support.
  • Advanced Microsoft Excel skills; experience with HR reporting and analytics tools is desirable.

Desirable Experience

  • Experience with SuccessFactors reporting tools and People Analytics.
  • Experience supporting integrations between HR, payroll and other business systems.
  • Familiarity with Power BI or other data visualisation tools.
  • Experience working in a multi-country environment.
  • Knowledge of GDPR, HR data governance and access controls.
  • SuccessFactors certification or relevant HR technology qualification.

  • Strong analytical and problem-solving skills with a high level of accuracy and attention to detail.
  • Ability to manage system administration, reporting and multiple support requests in a fast-paced environment.
  • Strong communication and stakeholder management skills, with the ability to explain technical concepts to non-technical users.
  • Collaborative approach to working with HR Operations, IT, payroll teams and external partners.
