Job Summary:

Performs a broad range of administrative services and business analysis in support of daily departmental operations. Monitors, audits, and reconciles departmental accounts. Prepares routine and specialized statistical reports. Ensures compliance with operational activities related to human resources, finance and budgeting, facilities, research, timekeeping, and purchasing functions.

Bachelor's degree and three (3) years of experience in business administration, budgeting, or finance.

Knowledge, Skills, and Abilities:

Knowledge of and skill in administrative, accounting, budgeting, auditing, purchasing, and analytical principles, practices, and procedures. Skill in the use of computers and related software applications, including Microsoft Office products, database applications, and spreadsheets. Strong verbal and written communication skills. Skill in records management and data maintenance. Skill in interacting diplomatically with individuals from diverse educational, social, and cultural backgrounds. Ability to gather and analyze information, prepare reports, and resolve problems. Ability to establish and maintain effective collaborative working relationships. Ability to comply with applicable regulatory requirements and UMMC policies, procedures, and other internal and external laws and regulations.

Responsibilities

  • Prepares departmental budgets. Researches, monitors, analyzes, investigates, and reconciles account balance discrepancies. Recommends procedural improvements and corrective actions.
  • Creates and updates labor distributions, initiates and tracks personnel actions, resolves payroll issues, and monitors timekeeping and leave-reporting processes.
  • Maintains and reconciles departmental contracts. Coordinates invoice payments, processes travel and expense reimbursements, and maintains receivables.
  • Handles deposits, check requests, and petty cash, and supports month-end and year-end reporting activities.
  • Oversees departmental facilities and equipment. Plans and manages maintenance of departmental space, oversees renovation projects and equipment acquisitions, maintains supply chain processes, and resolves supply-related issues.
  • Ensures departmental compliance with all applicable regulatory requirements and UMMC policies, procedures, and other internal and external laws and regulations related to operational activities.
  • Participates as a member of the operations team to improve cost containment, increase productivity, and meet operational demands. Develops monthly, annual, and ad hoc financial reports and analyses. Maintains IHL budgeting reports. Assists with the post-award management of department-based grants.
