MAIN FUNCTION
The Project Manager provides day-to-day leadership, coordination, and operational management for the Albizu AI Teaching, Learning, and Support Initiative (AITLS), a five-year Title III Strengthening Institutions Program project funded by the U.S. Department of Education. Working under the direction of the Project Director, the Project Manager coordinates implementation of project goals, objectives, activities, timelines, deliverables, and performance measures across participating academic and administrative units. The position serves as the primary operational liaison among project leadership, faculty, the Distance Education Success Center, Virtual Navigators, consultants, instructional designers, shared services and campus offices, and other project stakeholders.
REQUIREMENTS:
- Master's degree from an accredited institution in higher education administration, education, business administration, project management, public administration, organizational leadership, or a related field.
- Three (3) years of progressively responsible experience managing complex projects, preferably in higher education; demonstrated experience coordinating cross-functional teams and multiple concurrent workstreams.
- Proficiency with project-management, reporting, data-management, and productivity technologies.
- Experience managing federally funded initiatives or major institutional projects and using Canvas is strongly preferred.
RESPONSIBILITIES:
- Manage the day-to-day implementation of AITLS in accordance with the approved grant proposal, project objectives, implementation schedule, approved budget, and U.S. Department of Education requirements.
- Translate the approved grant proposal into detailed annual and semester-based implementation plans, work plans, timelines, milestones, and deliverables.
- Coordinate activities associated with the project's three major goals: Academic Programs, Institutional Management and Student Services, and Financial Stability.
- Maintain the master project implementation calendar and monitor completion of activities, milestones, deliverables, and performance targets.
- Coordinate project activities involving the Project Director, Assessment Coordinator, Distance Education Success Center Coordinator, Virtual Navigators, Faculty AI Lead, academic leadership, faculty, Information Technology, Digital Learning, Institutional Research, Finance, Human Resources, and external consultants.
- Coordinate implementation of the comprehensive redesign of the online BS in Psychology program, including curriculum alignment, AI literacy integration, Quality Matters activities, faculty development, and instructional design activities.
- Coordinate implementation and ongoing operation of the Distance Education Success Center, AI-powered student navigation chatbot, and Virtual Navigator model.
- Support implementation of the Graduation Initiative and coordinate activities designed to improve student retention, persistence, financial clearance, and degree completion.
- Convene and coordinate project implementation meetings; prepare agendas, document decisions, maintain action-item logs, and follow up with responsible parties.
- Monitor project progress against established performance measures and promptly identify delays, implementation barriers, risks, or deviations from the approved project plan.
- Work with the Assessment Coordinator and Institutional Research to ensure timely collection of project performance data and maintenance of the project dashboard.
- Coordinate preparation of monthly progress reports, semiannual monitoring reviews, annual performance reports, external evaluation activities, and other required project reports.
- Work closely with the Grant Administration Specialist to ensure that expenditures and administrative activities remain consistent with the approved grant budget and project scope.
- Coordinate the work and deliverables of consultants, subject-matter experts, instructional designers, trainers, and other project partners.
- Maintain comprehensive project documentation demonstrating implementation fidelity and completion of grant-funded activities.
- Assist the Project Director with communications to senior leadership and other internal and external stakeholders regarding project implementation and outcomes.
- Support the institutionalization and sustainability of successful grant-funded practices beyond the federal funding period.
- Perform other grant-related responsibilities and institutionalization activities necessary to achieve the approved objectives of AITLS.
