Job Summary:
This position performs service department-related tasks such as quoting spare parts and service work; providing and tracking phone support; preparing and sending invoices; organizing parts shipping.
Responsibilities
- Collect, store, and answer emails in an efficient and organized way.
- Answer phone calls and be able to execute the needed service on a first come, first serve basis.
- Navigate and use Edrawings, ETO, and Microsoft Planner to look up data in an efficient manner.
- Track parts and service using ETO.
- Create and maintain an organization system in the spare parts room.
- Update and maintain the company calendar for staff traveling to customer facilities.
- Distribute service/install form for staff traveling to customer facilities.
- Communicate effectively to the other members of the Parts and Service team.
- Organize shipping of parts and create packing slips to ship with the parts.
- Ship parts internationally in the most expedient way.
- Organize, gather and maintain information and documentation from customers and field service technicians.
- Track customer's phone support needs and hours.
- Excel in customer communications by being timely in responses and being solution oriented.
- Prepare components for safe shipments.
- Field and gather information for any future upgrades/services customers may require.
- Understand differences in shipping, billing, invoicing for different companies in different parts of the world.
- Share knowledge and information with other team members through multiple avenues of communication.
- Pivot and execute different plans as they change.
- Invoice customers in multiple invoicing portals.
- Navigate difficult conversations surrounding quoted prices and invoiced prices.
- Communicate issues and collaborate with other departments on potential solutions.
