Job Overview

The Administration Project Manager (APM) reports to the Chief People Officer and supervises the Receptionist/Office Coordinator. The APM will work alongside the Director of Human Resources, the Volunteer Engagement Manager and the Information Technology Manager. The APM will have three primary areas of focus: Project Management for the Administration Department, Office Management oversight, and Internal Communications for the organization. This position may require working in a public space, with a lot of activity, and occasional errands/driving.

Essential Duties & Responsibilities

  • Provide Project Management support for the Administration Department
  • Run weekly Departmental meetings
  • Keep Administrative Directors on track with their Projects
  • Assist CPO with her C-level Projects
  • Be a thought partner to the CPO with her high-level planning and strategic execution
  • Maintain a high level of confidentiality
  • Excellent time management skills and prioritization
  • Represent Admin Team on IWS Taskforce
  • Office Management
  • Supervise Receptionist/Office Coordinator
  • Manage OurCalling Amazon account
  • Oversee weekly check deposit and monthly cash deposit
  • Staff Care
  • Under the direction of the CPO, coordinate all-staff training events
  • Coordinate staff/team celebrations (5th Thursdays, annual Staff Christmas party, Team Appreciation weeks, Monthly Birthdays/Anniversaries, etc.)
  • Manage uniform and merch inventory
  • Oversee OC Playbooks (ensuring quarterly/annual edits by team and department)
  • OurDirectory - coordinate with Vendor for revisions and ordering
  • Internal Communications
  • Create Digital Signage slides
  • Assist with staff update emails
  • Write monthly staff newsletter
  • Manage info@ourcalling.org and wordpress inboxes

Qualifications

  • Bachelor's degree, or an equivalent combination of education and experience required.
  • Equivalent is defined as four years of directly relevant, progressively responsible experience in project coordination, operations, program or office management, or executive-level administrative support. An associate's degree, a project management certification (CAPM, PMP, Google Project Management Certificate, CSM), or relevant military service each count toward that four years. 
  • Minimum 2 to 3 years project management experience, required
  • High level of discernment

  • Previous experience working in a faith-based organization, preferred
  • Comfortable with technologies, including Apple software (such as Pages, Numbers, and Keynote) and Google software (Sheets, Docs, etc), Notion Project Management Software, Canva
  • Strong written and verbal communication skills
  • A humble and approachable attitude
  • Professional maturity and integrity as a trusted team member
  • Ability to produce reports, assign tasks, accept instructions, and handle vendor contracts
  • Strong ability to balance a variety of projects and complete a wide variety of tasks

  • Attention to detail to ensure tasks are completed thoroughly and in a timely manner
  • Comfortable working in a public environment with lots of activity
