POSITION SUMMARY
The Senior Project Coordinator provides support to the Project Management Office by assisting with project coordination, shipment tracking, service request management, audit support, project documentation, and project-related reporting. This role supports Project Managers with needed project information, requirements, updates, and follow-through activities to help ensure projects are tracked to completion. The role also supports limited Smartsheet / project portal activities, including project portal spin-ups, Smartsheet portal maintenance, data entry, data organization, basic reporting support, and coordination of portal updates aligned to established processes.
Knowledge
- Effectively applies knowledge of job and company policies and procedures to complete a variety of tasks
- In-depth knowledge in technical or specialty area
- Support the Project Management Office with project coordination, shipment tracking, service request management, and follow-up activities.
- Assist Project Managers with project information, documentation, reports, requirements, and coordination needs.
- Support tracking of project financial-related information where applicable, including budget tracking, expenses, subcontractor PO support, payment support, and report extraction.
- Manage project-related paperwork by ensuring project materials are current, filed, organized, and stored properly.
- Assist with internal and external audit requests.
- Support project completion activities, including closing service requests and ensuring project module updates are completed when projects close.
- Support project portal spin-ups using established templates and agreed project requirements.
- Maintain Smartsheet project portals by updating project data, trackers, reports, and related information.
- Assist in basic dashboard/reporting support, data collection, and data organization.
- Apply Smartsheet best practices and help ensure project portal information is accurate, current, and usable.
- Coordinate with Project Managers and internal stakeholders to confirm portal updates, missing data, and required project information.

- Completes workload on time. Monitors if transactions are processed in a timely manner.
- Implements error-proofing method to ensure all transactions done are accurately
- Participates in meetings and discussions with customers
- Coordinates with other teams/support to complete the request of customers.
Supervision
- Works independently within established procedures: may receive general guidelines on new assignments
- May provide general guidance or technical assistance to less experienced team members
- Plans, executes and manages own workload and projects in cooperation with line leaders
- Assists in leading team working meetings, huddles and information cascades. Communicates with the team on best practices, lessons learned, process and product updates during huddles/meetings.
Continuous Improvement
- Identifies problem areas and sources, offers possible solutions and escalates to line leaders/seniors when necessary.
- Completes personal individual development plan and implements agreed training/development activities.
- Assists the team lead in identifying team opportunities and challenges. Provide sound recommendations to line leaders and/or stakeholders by translating, enhancing and consolidating information into forms that can be used for decision making of the top management.
- Support projects related to quality improvement

QUALIFICATIONS
- Bachelor's degree in business or related discipline
- 3 or more years of experience focused project coordination
- Must have strong proficiency with MS Office, specifically Excel and Word.
- Experience or working knowledge of Smartsheet, project portals, dashboards, trackers, or project reporting preferred.
- Ability to work independently within established procedures and handle multiple project coordination activities.
- Strong attention to detail, accuracy, follow-through, and documentation discipline.
- Ability to identify issues, recommend solutions, and escalate appropriately.
- Professional written and verbal communication skills.
- Demonstrated teamwork, integrity, adaptability, and customer-focused support.
