Security Service & Construction Project Administrator plays a vital support role within the project management team, ensuring that all administrative aspects of security projects are organized, documented, and efficiently executed. The ideal candidate is detail-oriented, highly organized, and familiar with the construction industry.
Key Responsibilities:
- Provide administrative support to project managers and field supervisors for security projects.
- Prepare and manage project documentation, including contracts, submittals, RFIs, and closeout packages.
- Maintain and update project files and documentation logs.
- Track project schedules and deadlines, ensuring all documentation is submitted on time.
- Coordinate and communicate with vendors, subcontractors, and clients regarding project status and documentation.
- Assist in preparing Direct Owner Purchase billing and invoicing documentation.
- Help ensure compliance with local, state, and federal regulations and company safety policies.
- Organize and schedule project meetings, prepare agendas, and take meeting minutes as needed.
- Generating work orders.
- Invoice service tickets.
- Assist with permitting for several municipalities.
Qualifications:
- 3+ years of experience in a construction or security contracting environment, ideally in a project administrative role preferred.
- Strong knowledge of construction documentation and processes.
- Proficiency in MS Office Suite (Word, Excel, Outlook), and project management software (e.g., Autodesk (ACC Build) , Viewpoint, Bluebeam).
- AutoCAD experience a plus.
- Excellent organizational and time management skills.
- Ability to multitask and work in a fast-paced environment.
- Strong written and verbal communication skills.
- Familiarity with security systems or terminology is a plus.
- Strong interpersonal and collaboration skills
Working Conditions:
- Primarily office-based with occasional site visits.
