[What the role is]

We are seeking a highly organised and stakeholder-oriented individual to oversee the internship placement programme and Outreach. In this role, the successful candidate will be responsible for liaising with industry partners and internal stakeholders to facilitate the matching of interns to suitable opportunities across various sectors. The individual will manage the full internship placement lifecycle, including industry engagement, intern screening and selection, onboarding coordination, and ongoing progress monitoring. The ideal candidate will possess strong communication and interpersonal skills, with a demonstrated ability to collaborate effectively with diverse stakeholders to ensure successful and meaningful internship placements and Outreach activities.

[What you will be working on]

  • Provide guidance to Staff on internship placement processes, e.g. interns matching & selection arrangement, working with industry partners, etc
  • Verification of intern’s information for placement matching / interviews / Internship (ITP) companies' on-boarding requirements.
  • Collaborate with Internship Companies (HR / Supervisors) to facilitate best matching for interns based on companies’ requirements, intern’s interest and skillsets.
  • Conduct interns shortlisting, screening, coaching for prospective placement interviews.
  • Match and assign School Internship Mentors (SIM) to participating Internship partners.
  • Maintain, upkeep database and perform data analytics.
  • Generate internship statistics reporting to Management / External Agencies.
  • Handle Companies feedback and work with School Internship Mentors / Course Management Team to address and resolve interns' conduct / performance related matters.
  • Serve as a key point of contact for companies and interns, managing enquiries across multiple channels (e.g., iCEMs, emails, f2f, and phone calls) .
  • Identify, survey, and engage existing, prospective, and potential internship companies to establish networks and expand collaboration opportunities / career opportunities for graduates.
  • Build and maintain relationships with partners, and stakeholders thru regular engagement and follow-ups to strengthen industry ties.
  • Serve as Outreach representative to support Outreach Manager in the strategic planning, organization and execution of key NYP and SEG events and Outreach Programmes, including Open House, Joint Admission Exercise, Applied Learning Modules Courses, workshops, etc.
  • Develop and establish new partnerships with companies to support internship placements.
  • Conduct pre-graduate employment surveys to analyse statistics on graduates’ employment and propose follow-up.
  • Work with Corporate Department on Career Fair Sign-ups
  • Support general administration (Attend to counter enquiries / receiving of goods, etc) and student matters related tasks
  • Support other admin teams (e.g. Assets and Staff team), where required
  • Participate in committees / projects at School / Poly-wide level
  • Undertake ad-hoc administrative assignments as required

[What we are looking for]

  • Minimum Diploma and above with at least 5 years of relevant working experience
  • Relevant experience in internship Administration in Education Sector is preferred
  • Proficient in Microsoft Office Applications (Access, Word, Excel and Powerpoint)
  • Familiar with digital/automation tools (e.g. SharePoint etc)
  • Ability to work independently and as part of a team, with a proactive and problem-solving mindset
  • Strong organisational, communication and coordination skills
  • Detail-oriented, resourceful and comfortable managing multiple stakeholders, events/tasks and deadlines
