Order Management Specialist:

An Order Management Specialist manages the end-to-end quote-to-bill process, including quote generation, order entry, and billing support. The role ensures accurate and timely order processing, meets service level targets, and resolves complex order-related requests efficiently. Working closely with sales and account managers, they provide operational support and expertise while maintaining high service quality. The focus is on process excellence, customer satisfaction, and achieving business objectives through effective order management.
Key Responsibilities:
- Manage the end-to-end order-to-billing lifecycle, including order processing, renewals, billing, credits, cancellations, and order adjustments.
- Ensure accurate and compliant order execution by validating client, product, pricing, billing, and approval details while adhering to SOX and company guidelines.
- Serve as the primary support partner for sales teams and clients, managing order status, billing queries, account updates, and issue resolution.
- Monitor orders, installations, backorders, and billing activities to ensure timely delivery and achievement of service level commitments.
- Support billing dispute resolution, compliance requests, renewals, and customer account management to enhance customer satisfaction.
- Collaborate with internal stakeholders to drive process improvements, system enhancements, testing (UAT/regression), and ad hoc initiatives.
- Maintain accurate records, reporting, and tracking data while identifying trends and recommending improvements to optimize operational efficiency.
Required Qualifications:
- 3-4 years of experience in Order-to-Cash (OTC) operations
- Strong knowledge of Order Management, Billing, Revenue Operations, Accounting, and Finance processes
- Understanding of the financial impact of transactions on the books, including revenue recognition, invoicing, accruals, and GL impact
- Hands-on experience with SAP and Salesforce (Mandatory)
- Advanced Microsoft Excel skills (Pivot Tables, XLOOKUP, Reporting & Analytics)
- Excellent verbal and written communication skills
- Proven experience leading stakeholder discussions and cross-functional calls
- Strong analytical, problem-solving, and decision-making skills
- Proficiency in leveraging AI tools (Microsoft Copilot, ChatGPT, etc.) to drive productivity and process improvements
- Ability to operate effectively in a fast-paced global environment.
