Purpose of the Role
We are seeking a driven, detail-oriented Project Manager to join our European Marketing Events team. The successful candidate will provide the operational backbone of the European events team — tracking every deliverable, timeline, contract and purchase order so that the Senior Event Manager and wider team can focus on delivery, with nothing missed or left to chance. It's an ideal launchpad role offering hands-on exposure across marketing, finance and procurement, with real scope to grow into bigger event responsibilities over time.
Key Responsibilities
- Deliverables & timeline tracking: Maintain a single source of truth for all event deliverables and milestones across the European events, proactively flagging risks to deadlines and adjusting plans accordingly as the landscape changes
- Contracts & procurement: Track and manage contracts and purchase orders (POs) for venues, vendors and suppliers, ensuring approvals, renewals and payments happen on time.
- Key elements tracking: Keep a detailed record of the critical components of each event (budgets, run-of-show, staffing, shipments, sponsorship obligations, etc.), ensuring nothing falls through the cracks.
- Team Support: Act as the organisational support behind the scenes for the Events team taking on administrative and coordination load so events run smoothly.
- Process & documentation: Help build and maintain simple, repeatable tracking tools/templates (e.g. dashboards, trackers) that bring structure and visibility to the team's operations. Willingness and appetite to use AI for these tasks essential.
- Cross-team coordination: Liaise with Finance, Legal/Procurement and vendors to keep contracts and POs moving without delay.
Experience & Attributes
- Some experience or a strong interest in project support, events, marketing or operations
- Highly organised, with an eye for tracking multiple contracts, POs and deadlines at once
- Highly flexible – events and schedules can change regularly, the successful candidate must be willing to roll with it
- Good attention to detail and comfort working with budgets, contracts and procurement processes
- Willingness to learn project-tracking tools (e.g. spreadsheets, project management software, Claude)
- A calm, dependable team player who enjoys working behind the scenes to enable the team's success
- Good written and verbal communication skills for coordinating across internal teams and external vendors
- Eager to learn and grow within the role, taking on greater event responsibilities over time
