Position Summary

We are seeking a full-time motivated and skilled Senior Data Analyst to join our team. The Senior Data Analyst serves as a key data and systems resource for ModMed (EMA EHR and Practice Management) and associated software across Ascend’s affiliated practices and satellite locations. This role is responsible for supporting system configuration, data integrity, reporting, analytics, training, and implementation initiatives. The Senior Data Analyst partners closely with the Manager of Clinic Systems & Training and Director of Data to ensure systems are effectively configured, practices are properly trained, and data remains accurate, clean, queryable, and reportable. This role also plays a critical part in Ascend’s acquisition and integration strategy by supporting the implementation of ModMed and standardized data practices for newly acquired locations. The ideal candidate is a detail-oriented, analytical, and collaborative professional who thrives in a fast-paced, multi-site environment and can effectively bridge technology, data, and operational needs to support informed business decisions and operational excellence.

Travel Requirement: This position requires approximately 25–35% travel to supported practice locations, including newly acquired sites, as needed to support system implementations, training, data integration, and ongoing operational needs.

Key Responsibilities of this role include, but are not limited to:

System Administration and Configuration

  • Administers ModMed EMA and Practice Management across all supported practices: user provisioning and deactivation, role and permission management, Universal Login/SSO enrollment, and access audits.
  • Builds and maintains configuration: appointment types, provider and resource schedules, templates and protocols, order sets, task types, fee schedules, inventory items, and document templates.
  • Maintains configuration standards across practices, documents intentional variances, and drives consolidation toward the enterprise standard where variance is not clinically or operationally justified.
  • Coordinates release and upgrade readiness: reviews release notes, tests in advance of deployment, communicates practice-facing impacts, and validates post-release behavior.

Support and Issue Management

  • Serves as escalation point for practice-level ModMed issues; triages, resolves, or routes to the appropriate vendor.
  • Maintains a documented issues work list with owner, status, and target resolution date; conducts regular follow-up with practices and vendors until closure.
  • Manages vendor cases with ModMed and with IT/infrastructure vendors (including DAS Health), holding vendors to documented processes and committed timelines.
  • Identifies recurring issues that indicate a configuration, workflow, or training gap and drives the underlying fix rather than the repeat ticket.

Implementation and Acquisition Integration

  • Executes Ascend's ModMed implementation playbook for newly acquired practices and new locations: discovery, build, data migration validation, testing, training, go-live, and stabilization.
  • Acts as project manager for assigned system implementations, integrations, and optimization initiatives, including scope, task plan, status reporting, and go-live readiness criteria.
  • Supports data migration from legacy EHR/PM systems: field mapping, validation testing, reconciliation of balances and schedules, and defect tracking.
  • Coordinates interfaces and integrations (labs, imaging, payment processing, patient engagement, e-prescribing, third-party analytics), including HL7 and API-based connections.

Reporting, Analytics, and Data Integrity

  • Partners with the Director of Data to build, validate, and maintain operational and revenue-cycle reporting sourced from ModMed.
  • Supports the RCM KPI framework: maps metrics such as DSO, A/R aging, net collection rate, denial rate, and clean claim rate to source reports, and validates that report logic matches definitions.
  • Enforces data integrity at the source — ensures configuration decisions (appointment types, service categories, provider records, fee schedules, item masters) produce clean, comparable data across practices.
  • Investigates and resolves data discrepancies between ModMed, the BI/warehouse layer, and practice-reported numbers.
  • Documents report logic and data definitions so that operational and financial reporting is reproducible and auditable.

Training and Enablement

  • Develops and maintains training materials, quick reference guides, workflow documentation, and configuration runbooks.
  • Delivers role-based training for providers, clinical staff, front office, and billing teams — onboarding, new feature rollouts, and remediation training.
  • Supports the Super User program: identifies and develops practice-level super users, and equips them to handle first-line questions.
  • Provides at-the-elbow support during go-lives, major upgrades, and post-acquisition transitions.

Compliance and Documentation

  • Maintains system documentation, change logs, and configuration records to support internal control and audit requirements.
  • Administers access in accordance with HIPAA minimum-necessary principles; participates in periodic access reviews.
  • Supports policy and SOP development for system use, documentation standards, and downtime procedures.

Qualifications

  • Bachelor's degree in Health Informatics, Business, Information Systems, Healthcare Administration, or a related field; or five (5) years of healthcare clinical or revenue-cycle systems experience in lieu of a degree.
  • Three (3) years of hands-on EHR/Practice Management system administration, configuration, or analyst experience in a healthcare setting.
  • Demonstrated experience supporting both clinical and financial workflows (scheduling, charge capture, claims, patient collections).
  • Strong analytical skills, including the ability to build and validate reports and reconcile data across system
  • Direct ModMed EMA and Practice Management administration experience; ModMed implementation or super user experience strongly preferred.
  • Experience supporting multi-site, multi-state, or private-equity-backed physician group structures.
  • Experience with practice acquisitions, system consolidations, or EHR migrations.
  • Plastic surgery, dermatology, medical spa, or aesthetics experience, including cosmetic (self-pay) and insurance-based revenue models.
  • SQL, Power BI, Tableau, or comparable reporting/BI tool experience.
  • Working knowledge of HL7, APIs, and interface troubleshooting.
  • Project management certification (PMP, CAPM) or formal project management experience.
