Job Summary:
The Assistant Project Manager is a key contributor to the Project Management Office, responsible for designing, implementing, and sustaining best practices, methodologies, and tools across the organization's project portfolio. This role is highly analytical and process-focused. The ideal candidate brings a practitioner’s mindset - someone who has delivered projects not just supported them - and can translate that experience into building stronger PMO standards and governance practices across the organization.
Skills and Experience Needed:
• A. Project Management and Delivery
- Own, drive, and execute select complex internal projects, cross-functional initiatives, and process-improvement programs from initial scoping and business case development through to execution, change management, and formal closure.
- Proactively identify risks, bottlenecks and areas of improvement across assigned projects
- Look at how projects are being run, find inefficient steps, and fix them to help teams deliver work faster and with fewer errors.
B. Governance and PMO Standards
- Establish and execute a regular audit cadence for project health, ensuring compliance with PMO frameworks and documentation standards.
- Govern the adoption and standardized configuration of PSA tool, ensuring a "single source of truth" for project data.
- Facilitate Stage-Gate reviews and ensure project stage compliance with governance frameworks.
- Lead the formal collection and analysis of lessons learned post-project/program and integrate resulting recommendations into the PMO methodology and training materials.
- Facilitate the PM Community of Practice (CoP) meetings, enabling knowledge sharing, cross-functional collaboration, and the identification of new best practices from project teams.
C. Stakeholder Management
- Act as a single point of contact for senior stakeholders, external vendors and cross-functional teams on PMO - related matters.
- Synthesize complex data and risks into clear, concise, and executive-ready dashboards, status reports, and presentations for leadership.
- Act as a change agent, leading communication strategies to ensure smooth adoption of new PMO processes, tools, and governance policies across delivery teams.
- Manage governance cadences with external vendors, ensuring deliverables align with business requirements and organizational quality standards.
Job Specification:
• A. Education & Experience
- Bachelor's degree in Business Administration, Organizational Development, Project Management, or a related field.
- Minimum of 5+ years of experience in a Project Management Office (PMO), PMCoE, or a dedicated process improvement/operational excellence role.
- Experience in developing and implementing standard project management methodologies and tools.
- Prior SaaS experience is a plus.
B. Certifications (Good to have)
- Project Management Professional (PMP) or equivalent (e.g., PRINCE2 Practitioner).
- Certification in an Agile framework (e.g., Scrum Master, SAFe).
- Certification in process improvement (e.g., Lean Six Sigma Green or Black Belt).
C. Core Competencies
- Project Management Expertise: Hands-on experience managing projects end-to-end using structured methodologies
- Analytical Thinking: Ability to synthesize complex data into clear, executive ready recommendations.
- Tool Proficiency: Advanced knowledge of Project Portfolio Management (PPM) software and collaboration tools.
- Communication & Influence: Excellent written and verbal communication skills with the ability to influence stakeholders at all levels without direct authority.
