Role Overview
The Artwork Process System Administrator supports the client's packaging artwork ecosystem by managing and optimizing the artwork management and workflow platform (e.g., Mediabox).
This role is responsible for ensuring the system effectively supports end-to-end packaging workflows—from project setup through approvals and final release—while enabling seamless collaboration across Marketing, Regulatory, Packaging, and external partners.
The position will focus on user onboarding & training, system support, workflow optimization, and leading new feature enhancements to continuously improve how the client's teams manage artwork and approvals.
This is a part-time role, integrated with the broader SGx / onsite team supporting the client.
Key Responsibilities
System Administration & Workflow Management
- Manage user roles, permissions, and access across global and regional stakeholders
- Monitor workflow performance and identify opportunities for improved efficiency
- Generate Monthly artwork KPI & SLA reports.
User Onboarding, Training & Adoption
- Lead onboarding for new users across internal external and agency partners
- Deliver training sessions tailored to the client's teams, focused on practical, role-based system usage
- Develop and maintain training materials, quick guides, and best-practice documentation
- Reinforce standardized workflows and drive consistent adoption across teams
- Act as a trusted subject-matter expert on system usage and workflow best practices
Troubleshooting & Support
- Serve as the primary point of contact for system-related issues and user inquiries
- Troubleshoot workflow routing, approvals, asset access, and system configuration challenges
- Resolve issues impacting artwork timelines, escalating when necessary to technical teams
- Support project teams in resolving workflow bottlenecks to keep initiatives on track
Workflow Optimization & Process Improvement
- Analyze current artwork workflows and identify opportunities to simplify, standardize, and improve
- Partner with teams to reduce manual touchpoints and improve approval cycle efficiency
- Support the evolution of workflows to meet changing client business needs (e.g., new product launches, regulatory changes)
- Drive continuous improvement initiatives aligned with quality, compliance, and speed-to-market goals
Feature Development & System Enhancements
- Gather feedback from stakeholders and translate needs into system enhancements
- Lead the evaluation, prioritization, and rollout of new platform features or integrations
- Partner with product teams, IT, or vendors to implement enhancements
- Pilot new workflows, automation, or capabilities to improve scalability and efficiency
- Communicate & Promote feature updates and changes clearly to users
Cross-Functional Collaboration
- Act as a liaison between stakeholders, SGx production teams, and technology partners
- Support project teams in designing workflows for new initiatives or programs
- Participate in discussions related to packaging process, approvals, and system usage
- Ensure alignment between system configuration and real-world business processes
Qualifications & Experience
- 3–7+ years of experience in artwork management, packaging workflows, or system administration
- Experience with artwork/workflow platforms (e.g., Mediabox, WebCenter, DragonFly, or similar)
- Strong understanding of the packaging artwork lifecycle, including approvals and regulatory considerations
- Experience training users and driving adoption across cross-functional teams
- Demonstrated ability to troubleshoot and resolve workflow/system challenges
- Experience working within CPG or highly regulated environments preferred (e.g., spirits, beauty, pharma)

Our compensation reflects the cost of labor across several U.S. geographic markets, and we pay differently based on those defined markets. The U.S. pay range for this position is $65 USD - $75 USD hourly. Ultimately, in determining pay, we will consider the successful candidate’s location, experience, and other job-related factors.
