Overview

CACTUS is a remote-first organization and we embrace an accelerate from anywhere culture. You may be required to travel to our Mumbai office based on business requirements or for company/team events.

We’re looking for an execution-focused Associate Project Manager to manage creative and marketing projects across videos, animations, infographics, and design for scientific and academic clients. You’ll own projects from brief to delivery—translating requirements into actionable plans, coordinating creative teams and vendors, managing timelines and review cycles, and ensuring projects are delivered on time, within scope, and to quality expectations.

Responsibilities

  • Own end-to-end project execution—translate client briefs into clear scope, deliverables, timelines, milestones, and review cycles.
  • Plan and track projects through the CRM, maintaining accurate timelines, resource allocation, budgets, status, and project documentation.
  • Coordinate cross-functional teams—assign and manage work across designers, animators, writers, freelancers, and vendors in collaboration with team leads.
  • Drive client and stakeholder communication, acting as the central point of contact and ensuring requirements, feedback, and expectations are aligned.
  • Manage project delivery and dependencies, proactively identifying bottlenecks, risks, delays, scope creep, and resource constraints and driving timely resolution.
  • Manage review and revision cycles, ensuring feedback is consolidated, actioned, and delivered within agreed timelines.
  • Track project commercials, including pricing, quotes, budgets, margins, and variances, with a focus on protecting project profitability.
  • Run project check-ins and maintain documentation, ensuring clear action items, ownership, and follow-through.
  • Capture project learnings and process improvements to strengthen execution and delivery efficiency.

Qualifications and Prerequisites

  • Bachelor’s degree in any discipline.
  • 1–2 years of experience in project coordination, project management, creative/agency operations, or client servicing.
  • Strong project ownership, execution, and organizational skills, with the ability to manage multiple projects and priorities simultaneously.
  • Excellent written and verbal communication with strong stakeholder management skills.
  • Comfortable working with spreadsheets, project trackers, CRMs, and project management tools such as Trello, Monday.com, or similar.
  • Strong attention to detail and a proactive approach to tracking and closing action items before they impact delivery.
  • Exposure to video/design production, creative agencies, or Agile ways of working is a plus.
  • Strong analytical and problem-solving mindset, with the ability to make decisions and resolve execution challenges effectively.
