Assistant Project Manager

At United Services, Inc. The assistant project manager will report directly to the Project Managers and play a key role in supporting the administrative and operational needs of active construction projects. This position involves providing day-to-day administrative support, assisting with project coordination, and helping ensure that all documentation, communication, and scheduling are managed efficiently to meet both time and cost objectives.

We are seeking an intelligent, dependable, and detail-oriented professional who is eager to learn and contribute to a high-performing team. The ideal candidate will possess strong written and verbal communication skills, a proactive problem-solving mindset, and the ability to work both collaboratively and independently in a fast-paced construction environment.

Requirements:

  • Excellent reading, written, and verbal communications
  • Excellent organization skills
  • Be able to read plans (preferred)
  • Has a background in construction (preferred)

Responsibilities (not limited to):

  • Secure properly executed subcontract and purchase order agreements, insurance certificates, bonds and other documents as required.
  • Assist with data entry of jobs, customers and vendors into both our project management software and our accounting software.
  • Assist the Project Managers in the development of the monthly job status report and participate in the preparation and sending out pay apps.
  • Assist the Project Managers with the aging report and obtaining any additional information necessary to ensure payment..
  • Assist Project Managers with business licenses, permits, and inspection requests.
  • Assist with sending job information like addresses, permit information, and per diem to the appropriate people.
  • Assist Project Managers with procuring any information for end of year audits that may be required.
  • Actively participate in coordination, staffing, scheduling, and other meetings as required.
  • Prepare meeting minutes as directed by Project Managers when needed.
  • Assist with preparing job start-up and close-out checklists. This will include owner’s manuals, scheduling owners training, preparing owners training books with the intent of selling preventative maintenance contracts with help from the Service Manager, and creating a start-up book with submittals and all the information needed for successful mobilization of new projects.
  • Keep the Project Managers fully informed in a timely fashion with regard to any and all problem areas on the project that you may see.
  • Maintain good relationships with the owner, architect, engineer, subcontractors, suppliers, municipal authorities, and team members.
  • Assist the Project Managers and Superintendents with the overall plan for construction as required.
  • This is a baseline of job responsibilities and is not inclusive of all responsibilities.
