Terms of Reference

UNHCR, the UN Refugee Agency, launched its Private Sector Partnerships (PSP) activities in Malaysia in 2017 to secure financial contributions from individual donors as well as Corporates and Foundations. The development of this market will support the global organization in expanding its supporter base and building a stable and predictable income stream from the private sector within Malaysia. Ultimately this will mean UNHCR Malaysia can provide even more support to refugees and other persons of concern.

As in other markets PSP operates in, a PSP goal in Malaysia is to establish a sustainable source of funding through monthly donors to be recruited by several acquisition channels i.e. face to face fundraising, online, and telemarketing. UNHCR operations in Malaysia, currently benefiting 170,000 refugees and other persons of concern, provides an excellent operational context to present UNHCR to the public in a compelling manner and to seek financial support from individual donors in support of UNHCR programs in Malaysia and worldwide. PSP activities in collaboration with other units also contribute to raise UNHCR brand awareness and improve public perceptions on refugees.

Due to the size of the database and the diversity of the donors recruited, the office also operates a complex donor relationship management. PSP activities in Malaysia span across Individual giving (IG) and Private Partnerships and philanthropy (PPH). IG strategies encompass the acquisition of individual donors via a mix of channels such as Face to Face, Digital, Lead Generation, and Telemarketing, as well as stewardship communication via telemarketing, email, WhatsApp/SMS, and direct mail. PPH strategies play a growing role in the fundraising portfolio of targeting corporates, foundations, High Net Worth Individuals, and Islamic philanthropy.

As part of the UNHCR Business Transformation Programme (BTP), UNHCR has adopted Salesforce as the platform for CRM implementation of fundraising and engagement and management systems.

Over the next few years, UNHCR will work with key system integrators to migrate other existing donor databases as well as set up new markets using Salesforce as the database of record to manage all individual giving, leadership giving/partnerships as well as digital donors relationships, income management, reporting etc.

The position

This position will take up duties arises from donor database and martech activities. The incumbent's role, in relation to this requirement, is to support the expansion of UNHCR PSP programme in Malaysia, making use of all possible opportunities that may arise through various fundraising activities.

Duties and responsibilities

  • Assist in admin operation of UNHCR Salesforce database and MarTech ecosystem, including payment gateway and marketing automation tool, working closely with UNHCR Local and Regional teams.
  • Assist in identifying business needs, system performance, pain points, and improvements.
  • Assist in assessing team requests for operational issues, bug fixes, and improvements. Troubleshoot, resolve system issues, and escalate relevant issues as needed following UNHCR operational ticketing process, ensuring high system reliability.
  • Assist in monitoring data cleanliness and proactively identify opportunities for data cleansing. Work with relevant teams to clean identified datasets and optimize data quality.
  • Assist in building and maintaining Salesforce and GCP-based reports and dashboards, including admin-focused reports. Support business end users in building reports and dashboards across different aspects of fundraising and marketing performance, using SQL to extract and transform data from the data lake and visualisation tools (e.g., Power BI or Tableau) to deliver clear, actionable insights.
  • Assist to support relevant activities of Salesforce package upgrades as required.
  • Perform other related duties as required.

Minimum qualifications required

In order to be considered for an internship, candidates must meet the following eligibility criteria:

  • Be either a recent graduate (having completed their studies within two years of applying) or a current student in a graduate/undergraduate school programme from a university or higher education facility accredited by IAU/UNESCO ; and
  • Have completed at least two years of undergraduate studies in a field relevant or of interest to the work of UNHCR .
  • not have exhausted the maximum cumulative internship period with UNHCR, including any prior internships (8 months for full-time and 12 months for part-time)

Desirable qualifications and skills

  • First Required Language is English at B2 level
  • Knowledge of managing database and marketing technologies for the purpose of donor acquisition and donor retention/development.
  • Knowledge of Microsoft Office especially Microsoft Excel is a must.
  • Experience in using SQL and visualization tools (PowerBI, Tableau) is strongly desirable.
  • Attention to details, high accuracy and result oriented.
  • Ability to collaborate with others, with a flexible and positive attitude.
  • Strong communication and interpersonal skills.
  • Able to work independently and under pressure.

Conditions

It is a full-time role with working hours starting from 9:00am to 5:00pm, Monday to Friday (40 hours per week). The successful candidate will be assigned to support the team in Kuala Lumpur.

Allowance: Interns who do not receive financial support from an outside party will receive an allowance to partially help to cover the cost of food, local transportation and living expenses.

Travel: Unless provided or paid by external sponsoring entities, UNHCR reimburse interns engaged from a location outside of the country of the duty station for the ticket costs of their outward and return travel to/from the duty station by the most economical route available on economy class, irrespective of the duration of the journey. Reimbursement shall be limited to the authorized outward and return travel between the intern’s country of residence and the intern’s duty station, or actual route of travel, whichever is lower.

Before travel is undertaken, the selected intern must obtain authorization in writing from the hiring office. Such authorization must include the approved cost of the ticket.

Internships normally last two to six months with the possibility of extension up to eight months for full-time internships and twelve months for part-time internships.
