Salesforce and System Administrator

  • Location: On-site in Danvers, MA

Role Description

Serve as the primary Salesforce Administrator/Developer, with responsibility for the day-to-day reliability, configuration, development, user support, data integrity, integrations, documentation, and continuous improvement of the Salesforce platform. The primary focus of the position is Salesforce administration and development, including CPQ, Partner Community, reporting, dashboards, automation, integrations, and custom applications.

As a secondary responsibility, administer Xactly Incent and partner with Sales Operations, Finance, Payroll, Human Resources, and Sales leadership to support accurate incentive compensation administration and payroll-ready commission results. Xactly administration is expected to require approximately 20–30 hours per month during normal cycles, concentrated between month-end and the payroll date, with increased effort during annual plan setup, testing, and implementation. The selected candidate will receive Xactly training as needed.

Key duties and responsibilities, other duties may be assigned:

Salesforce Administration and Development

  • Serve as primary Salesforce administrator and developer, overseeing the end-user experience and daily operation of Salesforce.com and related custom applications.
  • Administer users, profiles, permission sets, roles, licenses, security controls, access, and data governance in accordance with company requirements.
  • Design, configure, test, deploy, maintain, and troubleshoot objects, fields, validation rules, approval processes, reports, dashboards, Flows, and Apex triggers/classes.
  • Manage integrations between Salesforce and third-party tools, including Xactly, and monitor interface performance and data completeness.
  • Translate business requirements into scalable system solutions using platform best practices and documented change controls.
  • Provide user support, issue triage, root-cause analysis, training, release communications, and system documentation.
  • Build and maintain dashboards and reports supporting sales goals, pipeline, bookings, performance, and other commercial metrics.
  • Manage Salesforce license utilization, spend, allocation, and periodic access reviews.
  • Support three independent product modalities on a shared platform while maintaining appropriate process, data, and reporting consistency.
  • Maintain Clinical Applications functionality for demonstration scheduling and tracking.

Salesforce CPQ

  • Administer Salesforce CPQ and provide day-to-day user support and training.
  • Configure products, bundles, price books, pricing rules, discount schedules, quote templates, and related reference data.
  • Partner with Product Management and stakeholders to align product, pricing, and quoting configurations with approved requirements.
  • Maintain quote approval workflows, GPO discount structures, related controls, and the quote-to-order process.

Partner Community

  • Administer partner accounts, access, permissions, and the overall Partner Community experience.
  • Communicate system changes before implementation and train partner users on new or revised functionality.
  • Monitor and resolve partner-user issues while maintaining appropriate security and data access.

Xactly Incent Administration:

  • Serve as the primary Xactly Incent administrator and maintain system access, roles, participant records, position assignments, effective dates, and organizational hierarchies based on approved source-system data and authorized business changes.Partner with Human Resources to receive timely notification of new hires, terminations, transfers, promotions, leaves of absence, returns from leave, compensation changes, and other employee-status changes affecting Xactly participants.
  • Update and validate participant records, position assignments, plan assignments, targets, and effective dates in Xactly based on approved HRIS, compensation, organizational, and sales-plan data.
  • Periodically reconcile Xactly participant and employment data against HRIS and payroll records to identify missing, inaccurate, or untimely changes and coordinate corrections with Human Resources and Payroll.
  • Maintain quotas, targets, rates, crediting rules, plan assignments, reference data, state or territory mappings, and other configuration required for accurate calculations.
  • Monitor Salesforce-to-Xactly data feeds and other integrations; reconcile source data, identify exceptions, and coordinate corrections with business stakeholders.
  • Manage period controls, including opening and closing periods, calculation runs, validation checkpoints, approvals, and generation of payroll-ready commission files and reports.
  • Review results for reasonableness and completeness, investigate exceptions, document manual adjustments, and maintain an auditable record of changes and approvals.
  • Support commission inquiries and disputes by researching data, plan logic, crediting, and adjustments; escalate policy or plan-interpretation decisions to the appropriate owner.
  • Support annual plan implementation, including configuration, rate and target updates, reference-data setup, test cases, user acceptance testing, parallel validation, and deployment.
  • Maintain system documentation, process calendars, configuration records, data dictionaries, controls, standard operating procedures, and backup materials.
  • Monitor releases and recommend improvements to automation, controls, reporting, data quality, and participant experience.

Cross Functional and Operational Responsibilities:

  • Partner with Sales Operations in administering and paying commissions for dealers, account executives, business development managers, and other eligible participants across all modalities.
  • Coordinate with Finance and Payroll to meet commission-review and payroll deadlines and resolve data or payment exceptions promptly.
  • Maintain practical controls, reconciliation checks, and documentation supporting accuracy, appropriate approvals, and audit readiness across both platforms.
  • Prioritize competing deadlines, exercise sound business judgement, work independently with minimal supervision, and promote cross-functional collaboration
  • Attend and complete all required training

Education & Experience

  • Bachelor's degree in information systems, business, finance, analytics, or a related field preferred; equivalent experience considered.
  • 3 or more years of Salesforce administration, development, business-systems, or closely related experience preferred.
  • Experience with Xactly Incent is preferred but not required. A strong Salesforce candidate with releant systems, integration and data-administration experience may be trained on Xactly.
  • Experience with another incentive compensation management platform, such as Varicent, SAP Commissions, CaptivateIQ, Spiff, or Performio, is considered directly transferable.
  • Experience supporting sales compensation, commission operations, payroll intervaces, or finance-related systems preferred.
  • Salesforce Administrator certification preferred; Platform App Builder, CPQ, Advanced Administrator, or Developer credentials are a plus

Preferred Qualifications

  • Working knowledge of Salesforce administration, security, reporting, dashboards, Flow, data management, and release/change-management practices.
  • Working knowledge of Salesforce CPQ; experience with Apex and third-party integrations preferred.
  • Strong Excel and data-analysis skills, including the ability to reconcile data, identify anomalies, and explain results clearly.
  • Ability to convert business and compensation-plan requirements into accurate system configuration, test cases, controls, and documentation.
  • Strong written, verbal, training, documentation, problem-solving, and stakeholder-management skills.
  • Ability to handle sensitive employee and compensation information with discretion.
