This is a hands-on leadership role for a highly accountable professional who can manage the details of project delivery while maintaining a clear view of financial performance, customer commitments, and operational priorities.

The successful candidate will own assigned projects from turnover through procurement, scheduling, delivery, commissioning coordination, and closeout. Working closely with sales, engineering, finance, suppliers, customers, and project team members, this individual will establish disciplined processes, anticipate risks, solve problems, and ensure projects are delivered safely, on time, within scope, and profitably. The role also includes responsibility for strengthening project management practices, developing team members, and improving operational execution across the business.

Essential Duties and Responsibilities: Project Execution & Customer Delivery• Lead assigned projects and complex project portfolios from initial planning through final completion and closeout, with direct accountability for schedule, scope, quality, and financial results.

  • Develop and maintain detailed project plans, procurement matrices, milestone schedules, responsibilities, and reporting processes. Coordinate multiple vendors and delivery streams to meet customer requirements.
  • Manage customer relationships and serve as a primary operational point of contact, providing proactive communication, accurate status updates, and timely resolution of issues.
  • Coordinate engineering, procurement, suppliers, subcontractors, logistics, field operations, installation, and commissioning activities as applicable.
  • Review contracts, customer purchase orders, and project requirements to identify commercial obligations, delivery commitments, risks, and required actions.
  • Manage scope changes, schedule impacts, supplier issues, and contractual requirements. Ensure changes are documented, approved, priced, and billed appropriately.

Procurement & Financial Management• Oversee purchasing, vendor commitments, purchase orders, expediting, shipment coordination, and resolution of pricing, quality, and delivery discrepancies.

  • Maintain accurate project budgets, cost-to-complete forecasts, revenue projections, gross-margin expectations, and cash-flow visibility.
  • Protect project profitability through cost controls, early risk identification, change-order management, and reduction of rework and avoidable expenses.
  • Coordinate with finance and sales to ensure timely billing, collections support, accurate shipment reporting, and efficient project closeout.
  • Provide leadership with clear reporting on project status, financial performance, risks, and decisions requiring escalation.

Operational Leadership & Continuous Improvement• Establish and reinforce consistent project management processes, documentation standards, accountability, and performance expectations.

  • Lead, coach, and develop project management and operational team members, promoting collaboration and ownership across departments.
  • Improve project turnover, scheduling, procurement, forecasting, communication, and closeout practices to support a growing business.
  • Identify operational bottlenecks and implement practical solutions that improve efficiency, customer satisfaction, and financial performance.
  • Ensure compliance with company safety, quality, and documentation standards.

Experience and Requirements:• Five or more years of progressive experience in project management, operations, construction, manufacturing, commercial HVAC, mechanical systems, or a related industry.

  • Demonstrated success managing large, complex, multiyear projects or portfolios involving multiple suppliers, schedules, and stakeholders.
  • Strong financial acumen, including project budgeting, forecasting, gross-margin management, cost controls, billing, and cash flow.
  • Proven ability to lead cross-functional teams, manage vendors and subcontractors, negotiate effectively, and resolve complex project issues.
  • Excellent organizational, communication, problem-solving, and decision-making skills, with the ability to work independently and manage competing priorities.
  • Proficiency with Microsoft Office and project management systems; experience with Salesforce or similar business systems is beneficial.
  • Bachelor’s degree in business, engineering, construction management, operations, or a related field preferred; equivalent relevant experience will be considered.
  • Experience in commercial HVAC, applied equipment, engineered-product distribution, estimating, or applications engineering is highly desirable. PMP, Lean, Six Sigma, or related certifications are a plus.

What Success Looks Like: Success in this role is measured by on-time project delivery, achievement of revenue and gross-margin expectations, accurate forecasting, effective cost and risk management, strong billing and cash-flow performance, customer satisfaction, and consistent project closeout. Equally important is building a disciplined, accountable project management team that can support Midwest Machinery’s continued growth.
