Independent Contractor – T-CPT-11377 WordPress Website Designer & Developer Virtual Assistant (Project-Based)/Technical VA/Junior-Senior Level (Remote).

Overview

20four7VA is seeking offshore independent contractors to deliver remote services to clients worldwide, with a primary focus on developed markets such as the United States, the United Kingdom, Canada, and Australia.

We are seeking an experienced WordPress Website Designer & Developer Virtual Assistant to redesign an existing website for a specialized school-district translation company. The goal is to create a clean, modern, and highly professional website that builds trust with K–12 school administrators and special education professionals while making it simple for visitors to request a free quote or sample translation. The ideal candidate has strong experience designing responsive WordPress websites, implementing user-friendly forms, optimizing websites for speed and SEO, and creating intuitive content management systems that allow non-technical users to update website content independently.

The objective of each engagement is to assist the client in improving business efficiency, enhancing service delivery, or supporting operational functions through high-quality, task-specific services rendered by a qualified contractor.

Project Objectives

  • Redesign the existing SchoolTranslations.com website with a clean, modern, professional and trustworthy appearance.
  • Preserve the core purpose and family-oriented positioning of the existing website while modernizing its visual presentation and user experience.
  • Create a fully responsive website optimized for desktop, tablet and mobile devices.
  • Make it easy for existing clients to access important areas such as contract renewal and new client registration.
  • Make it easy for prospective clients to request a free translation / free sample translation and submit their documents.
  • Prepare the website for the client's planned marketing push, initially focused on California and with potential expansion into additional states.
  • Provide an easy-to-manage content structure so the client can make routine content updates without developer assistance.
  • Address the existing HTTPS/SSL certificate warning, subject to access and capabilities provided by the hosting/domain provider.

Detailed Scope of Work

A. Website Redesign & Information Architecture

  • Review the existing website structure and retain the core information that remains relevant to the business.
  • Redesign the website navigation and page layouts for clearer organization and easier user navigation.
  • Maintain or organize the following core pages/sections: Home, About, Services, Testimonials, FAQ, Contact / Request a Free Quote, Contract Renewal, New Client Registration.
  • Remove or de-emphasize the existing free newsletter section if it is no longer required.
  • Improve header/navigation structure, including appropriate placement of the company name/logo and primary navigation.
  • Create a consistent visual system for typography, spacing, buttons, colors, backgrounds and page components.

B. Homepage Redesign

  • Redesign the homepage to create a stronger first impression for school professionals and prospective clients.
  • Improve the existing hero/slider area with stronger visual hierarchy, imagery, supporting descriptions and clear calls to action.
  • Create prominent CTA placement for the primary offer: “Free Translation” / “Free Sample Translation” (final wording to be approved by the client).
  • Use professional imagery and visual sections that communicate schools, children, families and supportive translation services.
  • Improve content hierarchy and reduce unnecessary scrolling while preserving important information.

C. Lead Generation & Call-to-Action Functionality

  • Implement a prominent CTA that remains easy to find throughout the website, including the navigation and/or key page sections.
  • CTA should direct new prospects to a request form for a free translation / free sample translation.
  • The CTA form should allow the prospect to provide contact information and submit a translation request.
  • Form submissions should generate an email notification to the client or designated recipient.
  • Where feasible, configure an automated confirmation message/notification to acknowledge receipt of the request.

D. Document Upload / Request Form

  • Create or configure a user-friendly form that supports document uploads.
  • Allow upload of commonly used Microsoft Office document formats and PDF files, subject to the selected form solution and hosting limitations.
  • Implement appropriate file-type validation where supported.
  • Configure email notifications, so the client/designated recipient receives the submitted request and uploaded document(s), or a secure submission notification where direct email attachments are restricted by the hosting/form system.
  • Perform functional testing of the form, upload process, validation and email notification.

E. Existing Client Forms

  • Implement or redesign the New Client Registration form.
  • Implement or redesign the Contract Renewal form.
  • Configure the forms to generate copies/notifications for the client and business owner/designated recipient where applicable.
  • Configure dynamic contract dates where applicable and technically supported.
  • Ensure forms are accessible and usable on desktop and mobile devices.

F. About, Services, Testimonials & FAQ

  • Redesign the About page to communicate the company's experience and service positioning clearly.
  • Improve the Services presentation using structured sections/cards and stronger visual hierarchy.
  • Redesign the Testimonials section to make client feedback more prominent and credible.
  • Create or organize an FAQ section using client-provided questions and answers.
  • Use reusable WordPress components where practical, so future content updates are easier.

G. Footer & Internal Navigation

  • Create a modern, useful website footer.
  • Include relevant internal page links, contact information and social links if supplied by the client.
  • Ensure footer navigation is consistent across the website.
  • Review and correct broken or outdated internal/external links identified during the redesign.

H. WordPress Development & Content Management

  • Use WordPress as the primary CMS, consistent with the project requirements.
  • Use a suitable WordPress page builder such as Elementor or an equivalent solution.
  • Structure editable content so the client can update routine text and page content through the WordPress admin area.
  • Provide basic handoff guidance/documentation for routine content updates.
  • Build the website initially in a staging/development environment where hosting access permits.
  • Move the approved website to the live domain after final QA and client approval.

I. Responsive Design & Performance

  • Implement mobile-first/responsive layouts for desktop, tablet and mobile devices.
  • Optimize spacing, typography, forms, navigation, images and page components for smaller screens.
  • Improve page usability and loading performance through reasonable image, asset and WordPress optimization.
  • Conduct cross-browser and responsive testing before launch.

J. Basic On-Page SEO Setup

  • Implement basic on-page SEO foundations for the redesigned pages.
  • Configure page titles and meta descriptions for key pages.
  • Apply logical heading hierarchy (H1/H2/H3 as appropriate).
  • Optimize image file sizes and alt text where content is supplied.
  • Preserve important existing URLs where practical and avoid unnecessary URL changes.
  • Implement basic SEO-friendly internal linking.
  • This scope does not include an ongoing SEO campaign, link-building campaign, keyword-ranking guarantee, or ongoing content marketing unless separately contracted.

K. SSL / HTTPS & Launch Support

  • Review the current HTTPS/SSL certificate warning.
  • Coordinate with the hosting/domain provider as needed, using credentials supplied by the client.
  • Install/configure a free SSL certificate where the hosting provider supports it at no additional certificate cost.
  • Assist with launch, domain pointing and basic post-launch verification.

L. Quality Assurance & Handoff

  • Test navigation, links, forms, document uploads, email notifications, responsive layouts and major page components.
  • Verify the website on current versions of commonly used browsers and mobile screen sizes.
  • Resolve defects directly related to the agreed scope that are identified during the QA/launch period.
  • Provide the client with WordPress access/ownership and basic instructions for routine content changes.
  • Provide full ownership/access to website files and content upon completion, subject to third-party platform/plugin licensing terms.

  • Modernized SchoolTranslations.com website redesign.
  • A simple logo for website is included but a full brand identity is not.
  • Responsive WordPress implementation for desktop, tablet and mobile.
  • Updated website navigation and page structure.

  • SSL/HTTPS configuration assistance, where supported by the hosting provider.

  • Launch support and WordPress handoff/basic training.

Exclusions

  • Complete brand identity redesign or creation of a new corporate identity.
  • Professional logo creation or redesigning unless separately scoped.
  • Net-new copywriting/content strategy beyond reasonable formatting or migration of client-provided/existing content.
  • Professional photography, stock-image licensing, video production, or custom illustration costs.
  • Advanced CRM integrations, marketing automation, API development, or custom application development unless separately scoped.
  • Payment gateway, ecommerce, customer portal, or complex user-account/dashboard functionality.
  • Ongoing SEO, PPC, social media marketing, link building, or content marketing.
  • Paid WordPress themes, premium plugins, hosting, domain, SSL certificates, or other third-party subscriptions/licensing fees.
  • Major changes to project requirements or additional pages/features outside the agreed scope.

Client Responsibilities / Information Required

  • Provide WordPress/hosting access and appropriate administrative credentials.
  • Provide domain/hosting provider access when required for SSL, staging, DNS, or launch configuration.
  • Provide the current logo, brand assets, approved images, testimonials, service information, FAQ content and any other materials the client wants retained or added.
  • Provide the preferred email address(es) that should receive website form submissions.
  • Provide the required information and business rules for Contract Renewal and New Client Registration forms.
  • Review design concepts, staging pages and functional builds within agreed review windows.
  • Provide timely feedback and approvals to avoid delays in the project schedule.
  • Approve final content and functionality before the production launch.

Timeline & Working Arrangement

  • Contracted capacity: 10 hours per week, Monday through Friday unless otherwise mutually agreed in writing.
  • Target project duration: approximately 3-4 weeks.
  • The project may be completed earlier or may require additional time depending on client feedback, content readiness, hosting/access issues, revisions, third-party plugin limitations and scope changes.
  • Client and VA should conduct periodic check-ins as per the requirements.

Time cap: 40 hrs. Total project hours should not exceed 40 unless VA approves additional hours in writing. Third-Party Costs: Any paid themes, plugins, hosting, domain, premium SSL certificates, stock assets, or other third-party charges will be paid by the client.

Change Requests

The pricing and timeline are based on the scope described above. Any material additions, new functionality, additional pages, substantial content changes, custom integrations, or requirements introduced after approval may require a revised estimate, timeline, or SOW.

Communication & Approval

Communication may be conducted through email, phone/video calls, or the agreed project-management channel. The client will provide timely feedback and approvals. Final launch will proceed after the client approves the staging website and confirms that the agreed deliverables are ready.

NOTE: 1. SSL Certificate for free ones no separate charges will be applicable ( if comes with server ). For PAID SSL Certificates the installation costs will be applicable based on work hours and billed additionally.

Any other relevant materials or requirements: Client should help / provide any pertinent information during the work process.

Work Schedule

  • Contracted Hours per Week: 10 Hours
  • Scheduled Working Days: Monday through Friday (unless otherwise mutually agreed in writing)

Note: The Company will make reasonable efforts to align the Assigned VA’s schedule with the Client’s preferred hours as set forth above. However, availability may vary based on time zones, capacity, and the contracted hours set in this SOW. Any changes must be mutually agreed to in writing through a revised SOW.

Terms of Engagement

  • Contractors will operate under a Master Services Agreement and a Statement of Work
  • This is not an offer of employment; contractors are not employees of 20four7VA or any client
  • All compensation is processed through 20four7VA according to the terms of the engagement
