Job Overview

XBrain is hiring a Project Manager, based in Da Nang, to help build and run our internal AI capability engine, Xora. This role sits alongside the Lead of Delivery and is accountable for turning the delivery plan into work that is coordinated, tracked, and fully handed over — converting product requirements and use cases into work packages with clear inputs, deliverables, assignees, reviewers, and acceptance criteria.

Key Responsibilities

1. Delivery Planning & Tracking

• Maintain a single delivery backlog and a single consolidated roster.

• Prepare the weekly plan based on priorities, capacity, and dependencies agreed with the Lead of Delivery.

• Track completion of inputs, acceptance criteria, reviewers, and approvers before a work package starts.

• Detect delay risk early and present the Lead of Delivery with options.

2. Cross-Team Collaboration

• Coordinate through each group/pod contact, and record commitments and changes in a single system.

• Coordinate regularly with the HCMC/Hanoi teams on inputs, capacity, dependencies, and decisions that need resolving.

• Prepare review requests with the correct version, change description, and evidence; track findings until resolved or formally accepted.

3. Governance, RAID & Reporting

• Maintain the risk, issue, assumption, dependency, and decision (RAID) log.

• Maintain traceability: requirement → work package → artifact/version → review → acceptance → usage.

• Consolidate progress, variance, effort, and decisions requiring resolution into a weekly delivery report.

4. Acceptance & Handover

• Check governance information for each work package and chase whatever is missing.

• Consolidate acceptance records, handover records, and usage results.

• Confirm package completeness and that the consumer has taken receipt.

5. Team & Capability Support

• Maintain the roster, work assignments, and support schedule for each production group/pod.

• Consolidate work output, review results, and capability records to support the team's development.

Key Requirements

1. Experience

• 3–5 years of experience in project/delivery within a software, digital, or technology environment.

• Proven experience managing execution across multiple workstreams: backlogs, dependencies, review schedules, and handovers.

• Experience in an agile/software delivery environment preferred; experience coordinating a large team of junior/entry-level engineers is a strong plus.

• Prior client-facing or BFSI/banking project experience is not required — this is an internal delivery role.

2. Skills & Domain Understanding

• Solid understanding of the software development lifecycle: requirements, review, testing, versioning, and release.

• Ability to convert a scope into a plan with dependencies, and to run a RAID/change log.

• Comfortable coordinating across distributed teams (Da Nang and Ho Chi Minh City).

• Clear communicator and detail-oriented; able to report accurate status backed by evidence.

3. Tools

• Proficient in Jira, Confluence, or similar delivery/documentation tools.

• Familiarity with agentic AI workflows or Xora is a plus — specific product knowledge is covered during onboarding.
