Full description

The Service Operations Project Manager serves as the primary point of contact across the VP of Service Operations' four organizations: Customer Service, Product Support, Logistics, and the Repair Station Network. Based at CSafe's World Headquarters in Monroe, Ohio, this position is responsible for organizing, prioritizing, and advancing the VP's project portfolio.

Key responsibilities include proactively gathering information, engaging stakeholders across all four functions, holding contributors accountable for their deliverables, and ensuring projects are completed on time and to a high standard. This position requires exceptional attention to detail and strong project management skills, along with the ability to communicate relevant information clearly to all levels of the organization. This position requires a three day in office presence.

KEY RESPONSIBILITIES:

  • Maintain the VP's live project portfolio across all four organizations, capturing every active project and initiative in a single organized view
  • Manage and reassess the priority list as new projects emerge, flagging conflicts or capacity constraints with the VP
  • Provide the VP with a clear, current picture of project status: in progress, on hold, at risk, or completed
  • Track commitments and follow up items from leadership meetings and operational reviews
  • Maintain a structured backlog of future initiatives for sequencing as capacity allows

Project Management and Execution

  • Proactively engage stakeholders across Customer Service, Product Support, Logistics, and the Repair Station Network to gather information and drive projects forward
  • Hold contributors accountable for deliverables, following up on delays and escalating risks to the VP as needed
  • Maintain organized documentation and a single source of truth for each project's status and decisions
  • Synthesize raw contributor outputs into clean, usable formats
  • Monitor milestones and deadlines, proactively identifying risks and recommending solutions

Administrative and Operational Support

  • Manage project related meeting schedules, ensuring clear agendas and documented outcomes
  • Prepare materials for operational reviews and leadership meetings,
  • Support ad hoc requests and special projects with quick turnaround

JOB QUALIFICATIONS:

  • Bachelor’s degree in Business Administration, Operations Management, or a related field, or an equivalent combination of education and relevant experience.
  • PMP certification or equivalent project management training is a plus but not required.
  • 3+ years of experience in project management, operations management, or a similar role — ideally supporting a senior leader or coordinating work across multiple business functions or departments.
  • Proven ability to work cross functionally without direct authority, driving accountability through influence and relationship building
  • Excellent written and verbal communication skills, with the ability to produce clear, concise, ready to use documents and summaries
  • Strong attention to detail with the ability to synthesize and summarize information effectively
  • Self-directed with sound judgment on when to act independently, escalate, or bring structure to ambiguous situations
  • Proficient in Microsoft Office 365 (Outlook, Word, Excel, PowerPoint); experience with project management tools such as Asana, Monday.com, or Smartsheet strongly preferred
  • Experience in supply chain, logistics, customer service, or field operations environments is a plus
  • Understanding of project management methodology and tools
  • Familiarity with the operational functions of Customer Service, Product Support, Logistics, and the Repair Station Network
  • Communicate professionally with cross functional stakeholders to manage expectations and timelines
  • Strong written and verbal communication skills, including the ability to distill complex information into clear summaries
  • Proficiency with documentation, filing, and tracking systems
  • Skill in synthesizing raw data or input into polished, ready to use materials
  • Ability to work across organizational lines without direct authority
  • Ability to manage competing priorities and shifting deadlines
  • Ability to hold others accountable through influence and relationship building rather than positional authority
  • Ability to identify risks early and recommend solutions rather than simply reporting problems
